Match the identifying details
Compare the recorded amount, currency, dates and any existing reference. A similar amount on another date is not automatically the same transaction. Conversely, a difference in display wording does not alone establish that two records concern different events.
Ask a factual question
The unresolved question is which receiving entry corresponds to the stated completion, if any. That is more precise than asserting that one party has already been proved responsible. An internal status label and external receipt answer different questions.
Keep original evidence private and redact full account details in shared copies. Do not invent a transaction reference or a processing explanation to bridge a gap.
Equal amounts are not enough to identify a payment
Two unrelated entries may show the same amount. Before calling one the missing receipt, compare the available reference and date context as well. If no reference links them, describe the possible match as unconfirmed. This avoids closing an unresolved record merely because a convenient credit appears, while also avoiding a claim that no relevant evidence exists when it does.
Write the discrepancy without closing it too early
For a hypothetical record, the sending side shows completion but the receiving record has no entry with the supplied reference. A clear summary is: “Completion is shown; a matching credit has not been identified in the receiving record checked.” That wording describes the comparison performed. It leaves room for a later matched entry without inventing a receipt now.
